A number of steps in the program require approval and completion of forms. Please print out the forms, complete the form with the required information and bring it to the graduate administrator.

redbar Supervision

New grad students may have the graduate director listed as their advisor. This is purely an interim measure while you search for a thesis supervisor (possibly after taking your Fall courses).

MCS and PhD students wanting an OCICS supervisor from the University of Ottawa MUST have your current supervisor email me to confirm HE ACCEPTS the transfer. If you have a supervisor at Carleton, especially one that funds you, you must have your current supervisor email me to confirm that they accept the transfer. It is up to you to work out any financial arrangement with UofO.

redbar Specific Requests

Several forms have been created for specific requests (e.g., leave of absence, choosing your thesis supervisor). Please be sure to check the electronic forms below. If there is a form for your request, fill it out and return it to the graduate administrator.

You must keep up continuous registration once you have begun to register in your thesis or project. Once registered in your thesis or project, you MUST request a Leave of Absence if you fail to register. Letting your registration lapse creates significant problems for the completion of your degree! You may have to be re-admitted to your program, which is NOT automatically granted.

redbar Choosing Courses

You should stick to choosing courses that are allowed for your program! MCS and PhD students are normally restricted to OCICS courses. ISS students can take courses from the OCICS list and from any of the 3 participating departments. In the exceptional situation where you think you need a course that is NOT listed for your program, then download and fill out the Permission for Credit form (see forms below). Return it to the graduate administrator and wait for the decision to be made. Support from your thesis supervisor on this form is essential. If you do not have a supervisor, then please choose courses allowed for your program.

I do not make suggestions concerning the courses you wish to take. Talk to the individual instructors of the courses that interest you to find out more about them. If you have a supervisor, consult with him.

Do NOT assume that you can substitute a specific course required on your admission form (pink Statement of Standing) with another one. Permission must be granted for such course substitutions: write the graduate director an email.

redbar Funding

Students STARTING their program should be very careful to check whether the system correctly recorded them as full-time or part-time. You must be full-time in order to receive a scholarship or a TAship and you must go to the Payroll Office to be processed.

Your funding, while studying at Carleton, can come from several sources: internal awards (e.g., TA position and scholarships), external awards (e.g., OGS and NSERC), Research Assistant position (RA), awards, etc.

Internal funding are awarded during the offer of admission. Internal funding level does not change while you are in the program. However, you may lose your internal funding (e.g., you changed from a full time student to a part time student). Note, you cannot receive additional internal funding if you are already enrolled in the program.

If you need additional funding then you should discuss it with your supervisor (additional RA funding) or apply for external awards, or internal awards.
